Payment reconciliation · Mondays 08:00

Match every payout. Diagnose every gap. Close the week on Monday.

Connect your payment processor and your invoice ledger once. Every Monday at 08:00 Closebook matches last week's payouts against open invoices, stages each mismatch with a written diagnosis, and keeps it staged until it clears.

First reconciliation runs the same day · every mismatch gets a diagnosis, not a red cell · no card required

Sample close · week 34Agency books · 51 payments
A reconciliation console rendered as ruled ledger columns: last week's payouts on one side, open invoices on the other, with a handful of mismatched rows pulled aside for follow-up.

How it works

Set it up once. It closes every Monday after that.

01Authorize both sides

Your payment processor and your invoice ledger, connected once. Read access is all it needs — nothing is ever written back.

02Matching runs at 08:00

Last week's payouts go against open invoices. Anything imperfect gets a written diagnosis: the amount, the likely cause, the evidence behind it.

03Work the board down

Every item sits at unmatched, investigating, or resolved, and only advances when its state genuinely changes. Nothing drops off quietly.

Inside every close

Three things a reconciliation should actually give you.

A diagnosis, not a flag

"Short $240 — reads as an early-pay discount taken without a credit note" tells you who to email this afternoon. A red cell in a spreadsheet tells you nothing.

Discrepancies that remember

Items stay on the board week over week until they reach resolved. The double charge you caught in July cannot quietly age out of view.

A close you can hand over

Payments matched, discrepancies opened, amount still unreconciled — recorded every single week. The trail your accountant asks for in April.

Who's behind this

Built after a batched payout hid $4k for six months.

The team behind Closebook — closing weekly reconciliations since 2025.

We reconciled properly once a year, at year-end. That is how a single batched payout covered a $4,000 shortfall for six months without anyone noticing. Weekly matching against a board that remembers is the fix, and Closebook exists to make that the default instead of a year-end scramble.

FAQ

The three questions everyone asks first.

Do I have to give it write access to my books?

No. Closebook reads both sides, matches them, and stages each discrepancy with a suggested diagnosis. Posting the correction in your accounting system stays your call, and stays yours to make.

My payouts arrive batched — doesn't matching just fail?

Closebook splits a batched payout across the invoices it covers and confirms it against the remittance detail. That is exactly how INV-2187 above closed: batched with INV-2188, split confirmed, resolved.

What stops an open item from quietly disappearing?

Every discrepancy carries a stage — unmatched, investigating, or resolved — and only advances when its state actually changes. Shortfalls, overpayments, double charges, currency variances, unmatched payouts, and invoices unpaid past your threshold all stay on the board with their evidence until they close.
