Executive search outreach · on demand
Every candidate gets three touches. Not one of them sends without your sign-off.
Hand Shortlist the mandate brief and your candidate signals. It writes each name a personalized three-touch sequence — intro, value follow-up, close — checks every draft against your compliance list, and stacks the batch in a queue that moves only when you approve it.

Works across
What you receive
One mandate, six candidates, exactly as it lands.
A PE-backed logistics COO search: six candidate signals in, six sequences staged for review twenty-five minutes later.
Subject — COO mandate, national 3PL operator (confidential)
“You've run national 3PL operations through a full network redesign — that is the profile this board asked for. I can't name the client before an NDA, and I won't quote a package by email.”
Touch 01 intro · 02 follow-up · 03 close — day 0 / 4 / 9
Checklist cleared: no compensation promise, no client name pre-NDA.

How it works
Signal to compliant draft, in three moves.
Sign in, paste the brief, and queue candidate signals the way you already keep them — ATS export, CSV sourcing list, or one name at a time.
Intro, value follow-up, close — written against the candidate's actual role and the mandate's fit, then run line by line through your compliance list.
Each sequence waits in the queue with a status chip. Approve it, edit it, or kill it. There is no auto-send path to switch on.
Inside every batch
Three things you get on every run.
Each touch names the role the candidate holds now and why this mandate fits it. That is why the intake wants the brief and not just a name list.
No compensation promises. No client name before NDA. Your firm's tone rules. The checklist runs on every draft, not on a sample.
Six sequences, six statuses, one screen. Nothing reaches a candidate without your approval, and every candidate's state stays tracked in one place.
Who's behind this
Shortlist was built on a search desk, not in a sequencing tool.
Drafting retained-search outreach since 2025.
On a retained mandate the first email is the firm's reputation. I built Shortlist to write the way my best researcher wrote — specific, restrained, compliant — and to make certain no draft ever skips my desk on the way out.

FAQ
The three questions every principal asks.
Can a candidate be contacted without my approval?
No. Shortlist has no auto-send path. Every sequence sits in the approval queue until you approve it, and you can edit or kill any draft before it goes anywhere.
What does the compliance check actually enforce?
By default: no compensation promises, no client identification before NDA, and your firm's tone rules. The checklist is editable in your plan settings.
Do I have to move off my ATS?
No. Candidate signals can be queued from any list — CSV, ATS export, or one name at a time. ATS integrations can be added during setup.
